Seating is one of the most strategic decisions in an event. It defines the front row, prioritizes who can see the collection most clearly, determines who sits together and signals which relationships matter most in the room. 

It’s why seating can’t follow a single template. At a couture show like Valentino’s FW25, guests were seated around circular pods and viewed the collection through small circular windows, making seating logic integral to the event experience. The same need for intentional seating applies to VIP dinners, press events and private moments, each with different objectives and sensitivities.

How Do Seating Charts Work

Seating charts in Launchmetrics Events are a visual and collaborative way to plan, assign and manage seating, directly connected to your guest list.

This lives in the Chart Builder, where teams shape the layout of an event to reflect the physical space. That might mean a runway staged in an unconventional venue, banquet-style tables for a private dinner, or a venue divided into front-row seating, press areas and private zones.

Sections and rows can be defined with precision to give teams clear visibility across the room. To make layouts easy to read and work from, teams use colours, labels and shapes directly within the chart. Seating can be colour-coded by category, such as press, buyers or influencers, while labels mark key areas like Front Row, Reserved or Talent. A status banner also shows who has RSVPed, who is pending and who has declined. This is particularly useful when collaborating between teams on the same seating plan.

Assigning guests is dynamic. Invitees can be placed into seats directly from the guest list, and updates can be applied across multiple seats or sections at once. Once seating is finalized, teams can send seating details to guests, including scannable barcodes and Apple Wallet passes, ready for on-site check-in. 

On the day of the event, seating charts are accessible through the Events iOS mobile app. This gives teams a live view of placements and arrivals, and the ability to make timely updates on the field. This is particularly helpful for when any last-minute changes happen, e.g. last minute plus ones, no-shows or change in seating for VIPs. 

Collaborative seating also allows multiple teams to work from the same seating chart, with controlled permissions to review, contribute and lock placements.

Seating Chart Use Cases by Event Type 

1. An Unconventional Runway, Led by the Event Manager 

The Brief:
Execute the Creative Director’s runway concept in a non-traditional space (such as a tennis court), without compromising visibility, hierarchy or flow. The seating plan must reflect the creative idea while still working for press, buyers, VIPs and partners.

Using Launchmetrics Events:
The event manager builds a custom seating chart that mirrors the venue layout, mapping the runway directly into the chart and shaping seating blocks around it. With sightlines and proximity clearly considered, they ensure sections are created, color-coded and labeled for press, buyers and VIPs. Key sections are locked once approved, ensuring late changes don’t disrupt critical placements. A read-only view is shared with internal stakeholders using External Access ID so creative, production and leadership teams can review the layout in real time without editing it.

2. A Private Press Dinner Managed by the Global PR Manager 

The Brief:
Create an intimate setting that supports conversation, strengthens editor relationships and reinforces the collection narrative. Who sits together matters as much as where they sit.

Using Launchmetrics Events:
The PR Manager uses custom seating charts to group editors intentionally, placing priority voices near designers or spokespeople and managing proximity to support discussion. Seating is adjusted at a seat level as confirmations change. 

With Collaborative Seating enabled and permissions set, different teams can manage their own placements within the same chart. Each team works within their assigned sections, ensuring sensitive relationships are reflected perfectly in the plan. This gives the PR lead full visibility and control as the seating comes together. Before the event, a Seating Report is also shared internally to align senior stakeholders on who is attending and how the room is structured, ensuring decisions are clear and final.

3. A VIP After-Party in the Hands of the U.S. Marketing Manager

The Brief:
Host a high-energy after-party to celebrate a new jewellery collection, where specific areas indicate priority. While the atmosphere is fluid and social, certain areas of the space are reserved for global brand leadership, top-tier VIPs and strategic partners. The guest list is built using existing relationship data, with flexibility factored in for plus-ones and late approvals.

Using Launchmetrics Events:
The U.S. Marketing & Events Manager uses seating charts to define priority sections and guests within the venue. These sections are populated with guests of the most importance—such as brand leadership, VIPs or partners—while leaving certain areas open for movement, socializing and any overflow.

On the night, the U.S. team uses the Events iOS mobile app to manage real-time changes within the guest list and seating plan. As plus-ones arrive or last-minute guests are filtered and approved, they can be added to the seating plan and directed to the appropriate zones, or shifted into non-seated areas without disrupting these priority sections. This keeps the experience seamless for guests, while in the back-end, the US marketing manager maintains visibility and control throughout the event.
